Who we are

G&J Cleaning Services (“G&J”, “we”, “us”) is a family-owned commercial cleaning company based in Newmarket, Ontario, serving York Region. This policy applies to our website at www.gjcleaningservices.ca, and to the personal information we receive when you contact us by phone, email or WhatsApp. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

What we collect

• Quote requests and contact forms: your name, company name, phone number, email address, the city and type of building, the service you need and any details you write in the message.
• WhatsApp, phone and email: your phone number or email address, your name if you share it, and the content of the messages you send us.
• Website visits: our hosting provider keeps standard server logs (IP address, browser type, pages requested, date and time) for security and troubleshooting. We do not use advertising or tracking cookies, and we do not run analytics that profile you.

How we use it

• To reply to your enquiry and prepare a cleaning quote.
• To schedule, deliver and follow up on cleaning services you hire from us.
• To keep a record of our communications with you and of the services provided.
• To send you information you have asked for. We do not send marketing messages unless you have agreed to receive them, and you can opt out at any time.

WhatsApp and our virtual assistant

Our WhatsApp number runs on the WhatsApp Business Platform, operated by Meta Platforms, Inc. Messages you send to us are transmitted through WhatsApp and are subject to WhatsApp’s privacy policy. We store your conversations in our own customer-messaging system so that our team can reply and keep track of your request.

Some replies on WhatsApp may be written by an automated virtual assistant that answers common questions and collects the details needed for a quote. The assistant may use a third-party artificial-intelligence service to compose its replies; your messages are sent to that service only to generate the answer, are not used to train its models, and are not sold or shared for advertising. You can ask to speak with a person at any time, and a member of our team will continue the conversation.

Who we share it with

We do not sell, rent or trade your personal information. We share it only with service providers that help us run the business, and only as far as needed to do their job: our website hosting and email provider, the form service that delivers quote requests to our inbox, WhatsApp / Meta for message delivery, the messaging platform where our conversations are stored, and the artificial-intelligence service used by our virtual assistant. Some of these providers may store data outside Canada, where it may be subject to the laws of that country. We may also disclose information where required by law.

How long we keep it

We keep quote requests and conversation records for as long as needed to respond to you and, if you become a customer, for the duration of our relationship and the period required for accounting and legal purposes. You can ask us to delete your information sooner, and we will do so unless we are required to keep it.

Security

Our website is served over HTTPS, access to our messaging systems is restricted to our team, and we use reputable providers that protect data in transit and at rest. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorized access.

Your rights

You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it. You may also withdraw consent to further communications at any time. To do so, email info@gjcleaningservices.ca or call (437) 223-7488. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

Children

Our services are for businesses. We do not knowingly collect personal information from anyone under 18.

Changes to this policy

We may update this policy from time to time. The current version is always available at this address, with the date of the last update shown below.
